At CircuitHall, we are committed to providing an enjoyable, safe, and immersive environment for all members and visitors. We understand that sometimes circumstances may require a refund, and this Refund Policy explains the conditions under which refunds are offered for memberships, gaming sessions, events, and related services.
By purchasing access, memberships, or services from CircuitHall, you agree to the terms outlined in this Refund Policy.
1. Refund Request Period
Refund requests must be submitted within 14 calendar days of the original purchase date. Requests submitted after this period will generally not be accepted unless exceptional circumstances occur, such as technical issues that prevent gameplay.
2. Membership Refunds
- Monthly memberships within 14 days of purchase, provided the membership has been minimally used (less than 3 hours of gaming time).
- Quarterly memberships within 30 days of purchase if less than 10 hours of gaming time have been used.
- Annual memberships within 30 days of purchase if less than 15 hours of gaming time have been used.
- Partial refunds may be granted based on the duration of use and membership type.
3. Gaming Sessions and Hourly Packages
- Unused hours from prepaid gaming sessions may be refunded if requested within 10 days of purchase.
- Once hours are consumed, they are non-refundable.
- Refunds for private room reservations or tournament bookings must be requested at least 7 days before the scheduled time for a full refund. Cancellations between 3–6 days before the booking receive 50% refund, and cancellations within 2 days are non-refundable.
4. Non-Refundable Items
- Food, drinks, or other consumables purchased at the club.
- One-time access passes once activated.
- Merchandise or gaming accessories once taken from the club.
- Promotional packages or discounted services marked as “final sale.”
5. Technical or Service Issues
- Contact the club within 7 days of the incident.
- Provide relevant details, including time, date, and nature of the issue.
- We will attempt to resolve the problem before approving a refund.
- If resolution is not possible, compensation or a full refund will be issued.
- Issues caused by personal devices, third-party software, or improper usage are not eligible for refunds.
6. Pre-Orders and Special Events
- Refunds for pre-ordered events, tournaments, or workshops may be requested at any time before the scheduled date.
- After the event date, standard cancellation policies apply.
- Early access or limited-time events are refundable only if unused and canceled within 7 days of purchase.
7. Accidental or Duplicate Purchases
- Notify the staff within 24 hours of purchase.
- Refunds may be issued if the service has not been used or activated.
8. Refund Processing
- Once a refund is approved, funds will be returned to the original payment method within 7–10 business days.
- Processing times may vary depending on the payment provider.
- Store credit may be offered if a refund to the original payment method is not possible.
9. Abuse of Refund Policy
- Refund requests may be denied if requests are frequent without valid reasons.
- Evidence of fraudulent claims or misuse is identified.
- Club rules or terms of service have been violated.
- Abuse of the policy may result in suspension of membership or restricted access to club services.
10. Legal Compliance
This Refund Policy is subject to applicable consumer protection laws. Any statutory rights provided under law will be fully honored and are not limited by this policy.
